1. Who this policy covers
Future & Fortune ("we") provides a workforce management application used by employers to manage attendance, leave, payroll and field operations. This policy explains how personal data is handled in the mobile app and the web dashboard.
The app is issued to you by your employer. Your employer decides which data is collected about you, configures the attendance and location rules, and is the controller of that data. We operate the platform on their behalf as a processor. Questions about why a setting is enabled for you should go to your employer's HR administrator; questions about the platform itself can come to us.
The app is intended for people in employment and is not directed at children.
2. Data we collect
- Identity and contact details. Name, work email address, phone number, employee code, designation, department and profile photograph.
- Employment records. Company and site assignment, shift, joining date, reporting manager, leave balances and requests, tasks, documents your employer uploads, and payroll records including payslips and payment history.
- Attendance activity. Check-in and check-out timestamps, breaks, overtime, punctuality status, and the site recorded for each shift.
- Photographs. A photograph captured by the camera at check-in and check-out, where your employer requires photo verification. It is used to confirm the attendance record is yours.
- Location. Precise device location. See section 3 — this is the most sensitive data the app handles and it is treated separately.
- Device and technical data. Device model and operating system, app version, push notification token, and security logs such as sign-in times and IP address.
We do not collect data from your device beyond what is listed here. We do not read your contacts, messages, call logs, photo library or files, and we do not use advertising identifiers.
3. Location data, including background location
Location is used for one purpose: to verify that attendance was recorded at a legitimate work site, and — where your employer enables it — to record the route worked during a shift so that on-site or field work can be confirmed.
Location is only collected while you are checked in to a shift, and collection stops the moment you check out. This is enforced on our servers, not only in the app: a location report sent when you have no open attendance record is rejected.
Where your employer enables continuous tracking, the app collects location in the background — that is, while the app is not open — for the duration of your shift only. Android requires your explicit permission for this, and the app shows you a disclosure explaining what will be recorded before that permission is requested. You can decline, and you can withdraw the permission at any time in your device settings. If you decline, the app still works; your employer may then require you to check in with the app open, and may not be able to verify field work automatically.
While background location recording is active, Android shows a persistent notification so it is never hidden from you. Location is not collected on rest days, before check-in, or after check-out.
4. Why we use your data
- Attendance and payroll. Recording shifts, calculating hours, overtime and pay.
- Verification. Confirming attendance was recorded by the right person at the right place, using the photograph and location where your employer requires it.
- Workforce operations. Leave approvals, task assignment, announcements, appreciations and reporting for your employer.
- Notifications. Sending approvals, reminders and announcements relevant to your work.
- Security and compliance. Protecting accounts, investigating misuse, and meeting your employer's statutory record-keeping duties.
We do not sell personal data, we do not share it with data brokers, and we do not use it for advertising or profiling unrelated to your employment.
5. Who we share it with
- Your employer. Authorised administrators, HR staff and your reporting manager, limited by their role and permissions.
- Service providers. Cloud hosting and database infrastructure, image storage and delivery, map and geocoding services to display a site or route, and Google/Apple push notification services to deliver alerts. These providers process data on our instructions only.
- Legal. Authorities where we are legally required to disclose, or to establish and defend legal claims.
6. How long we keep it
Attendance, leave and payroll records are retained for as long as your employer requires them, which is usually governed by employment and tax law in their jurisdiction. Verification photographs and location trails are operational records and are kept only for as long as your employer's configured retention period. Security logs are kept for a limited period for investigation purposes.
When your employer ends their use of the platform, their data is deleted or returned in line with their agreement with us.
7. Security
Data is encrypted in transit using HTTPS. Passwords are stored only as salted one-way hashes and are never recoverable. Access is restricted by role-based permissions, each employer's data is held in a separate database, and administrative access is logged.
8. Your rights
You can ask to access, correct or delete your personal data, and to withdraw a permission you previously granted. Because your employer controls your employment record, requests to correct or erase it are usually actioned by their HR administrator; we will assist and, if you contact us directly, will forward your request to them and tell you we have done so.
You can withdraw camera or location permission at any time in your device settings without losing access to the app.
To request deletion, see our data deletion page.
9. Changes to this policy
If we change how data is handled we will update this page and revise the date above. Where a change materially affects you, we will make it visible in the app.
10. Contact
For privacy questions or requests, write to info@futureandfortune.in. If your question is about your own employment record, contact your employer's HR administrator first — they can action it immediately.
